This notice explains how Ratcliffe & Sons (“we”, “us”) handles the personal information you provide when you contact us or make an enquiry through this website. We are the data controller for that information.

What we collect

When you submit our enquiry or booking form we collect the details you give us — typically your name, phone number, email address, the service you're interested in and any message or property details you include. We do not collect special category data and we ask you not to send it through the form.

How we use it

We use your details only to respond to your enquiry, arrange and carry out work, issue certificates and keep the records we are required to keep. Where we carry out gas safety work we retain the relevant records for as long as necessary to meet our legal and safety obligations. Our lawful bases are your consent when you contact us and our legitimate interest in responding to and delivering the services you request.

Who we share it with

We do not sell your information. We share it only where necessary to run our business — for example our email provider, and compliance software we use to track certificates and renewals — and only so they can provide those services to us. We may disclose information where the law requires it.

How long we keep it

Enquiries that don't lead to work are kept only as long as needed to deal with them. Records relating to completed gas work are kept for the period required by our legal and insurance obligations.

Your rights

You have the right to ask for a copy of the information we hold about you, to have it corrected or deleted, and to object to or restrict how we use it.
